How Can I Create Custom Properties?

Introduction

Pencil gives you the ability to create Custom Properties which can then be used to filter and organise content within the Work, Templates and Assets sections of your workspace. This powerful and flexible feature allows you to tag, and then filter and manage content in a way that is meaningful to your team and book of work.

Fundamentally Custom Properties allow you to:

  • Create a Property (e.g. Region) and assign multiple values to it (e.g. EMEA, APAC, LATAM)

  • Choose whether the Property allows for multiple selection of values, or just a single selection

  • Choose whether the Property can be edited/amended by any users or only by Workspace Admins


How Do I Create a Custom Property?

Admins will have the ability to create Custom Properties by navigating in their workspace to Settings -> Custom Properties:

Once selected, the Custom Properties screen will open and if you already have Custom Properties created, they will be listed here.

In this case, we will choose 'Add new' and define the example given at the start of the article - in this case making it editable by Admins only.
Begin by naming your Property and then add Values by entering them in the 'Values' box and then pressing Enter. Once you have added all your values you can configure the Value type as shown below, as well as choose whether Single or Multiple selections are permitted for this Property.

Upon pressing Save, your Custom Property will now be shown in the main screen, and the three dots on the right hand side allow you to Edit or Delete the Property.


How Can I Use My Custom Properties?

Once I have saved my Custom Property, navigating to the Work, Templates or Assets pages and click on 'Visible properties', I will see my new Custom Property named Region, and I can drag it into the position I want. Additionally, when selecting the Filter button I can see my Custom Property Region at the bottom of the list.


In this example I am in the Work section of my workspace and I can add values in-column from my Custom Property:

That then allows me to filter by Region either using the Filter button or by using the Filter icons next to the column headers:
